You’re on the home stretch – it’s the week or two before the wedding, your to-do list is rapidly decreasing and you’ll be marrying the love of your life before you know it! It’s almost time to say ‘phew, I’m done! Roll on wedding day!’ Of course, there’s a few things you’ll still need to tackle to make sure the day goes off without a hitch (check out our week before the wedding checklist here!) and if you’re heading to your venue for that final meeting or two, we’ve put together a few pointers to make sure you cover all bases. Here’s our final meeting with the venue checklist to help put your mind at complete ease. Remember, your aim is to be the most relaxed bride ever!

If you can’t quite get enough of checklists, then behold – here’s every wedding checklist you’ll ever need!

This checklist is free and downloadable! Click here to download our final meeting with the venue checklist to your computer and bring it along.

• Confirm how much money is owed and when the payment is due

• Is the coordinator going to be there on the day, and how can they be contacted? Do they have to speak to me only, or can my authorised person handle the calls too?

• When can we drop off things like decor, menus, table plan?

• When can we start setting everything up? (if you’re doing your own set-up)

• What are the final timings for arrival, canapes, dinner, entertainment, etc.?

• Who will announce our entrance into the reception venue?

• How will entrance music be played? Through the PA system, or by our band/DJ?

• Do you have a cake stand and knife?

• What is the noise curfew, if you have one? Are there any restrictions or rules DJ/band need to be aware of?

• (If you have a vendor who will be setting up outdoors, like ice cream truck or hog roast) Do you have a designated space for the vendor to park or set-up close to the venue, or the entrance/exit we’ll be using?

• Can you confirm there will be dishes for those who specified dietary requirements?

• Confirm who does the clean-up and if it’s us, what time does it have to be completed by?

• What happens to all the leftover food?

• Will there be meals for suppliers staying through the reception, like the band and photographer?

• What are the payment methods available for guests at the bar?

• Confirm rooms booked for bridal party, family and guests, and any special arrangements – i.e., grandparents must be on the ground floor, etc.

• Will you have the required number of high chairs for babies/kids?

• Should we anticipate any extra expenses that would only be charged afterwards (any damages, bar tab, parking fees, etc.)?

• What happens if people arrive early, are they allowed to wait in the lobby/garden/reception area?

• When are the final guest numbers due?

• How far in advance will you need our seating arrangements/table plan showing who sits where?

• Do you have a stand or an easel to display our table plan? (tell the venue what it is, a light paper poster or a heavy gilded frame, etc.)

• What happens if there’s a change in the number of guests? Can we add more chairs, or take away an empty table on the day?

• Can you confirm the final table layout?

• For outdoor weddings, in case of rain, who will help move everything inside and how long will it take? Will the guests be expected to help?

• Where will we be able to safely store our gifts and cards?

• What happens if things start running late?

• Can we go through all the timings together to make sure there’s enough time for everything?

• What mistakes have past brides made you would advise us to avoid?

• (for a venue with accommodations) What is your policy on any hotel rooms we pre-booked for our guests that may not be needed at last minute?

• What is checkout time? Is later checkout available for the newlyweds, or anyone else?

• Do you have any special arrangements with a local taxi company, in case some of our guests need transport?

• Do you offer special packages for people returning for their first anniversary?

Always remember – you’re in good hands! No venue will ever leave coordinating your wedding to someone completely inexperienced. And even if you forget to ask something very important at the meeting, they’re still just a phone call or email away.

A Simple Guide to Picking the Perfect Wedding Venue

Do you already know what kind of place you’d like to get married at? Or are you still trying to decide? Whatever stage you’re at, this simple guide to picking the perfect wedding venue will help you make the right decision.

Looks are important, but a venue has to serve its purpose – and that means everything from easily accessible bathrooms to enough parking for everyone. And most importantly, it has to be perfect for YOU. Make sure to choose a place both you and your other half will love – there’s no point booking a castle for 300 guests when you’re secretly dreaming of a small celebration in an elegant restaurant. Doing things against your wishes leads to major wedding stress!

You may wonder if you’ll be annoying the venue wedding coordinator by asking so many questions. We assure you, absolutely not. They’ve already met hundreds of brides-to-be and they understand the planning process involves a lot of asking. Plus, the first impression they make on you is really important – you’ll be able to see right away which places really care about exceptional customer service.

Once you narrow down your options to a few places you’d like to see, we recommend reading and downloading our ultimate checklist of specific questions to ask your wedding venue to take along with you.

And so, without further ado, here’s our simple guide to picking the perfect wedding venue. Let us know if you have any questions!

Use our Venue Finder to Find your Dream Wedding Venue!

What do we BOTH want?

Your other half may not know the difference between a hotel and a country house, but they definitely already know what type of wedding they’d prefer. You may even be surprised at what they tell you! Discuss the venues you’d both ideally like before you do anything else. If your opinions match, that’s fantastic! If not, work out a compromise, or find a third alternative neither of you has considered.

How many guests?

This is a big one for picking the perfect wedding venue. Go ahead and make a preliminary count of how many people you absolutely must invite – your immediate and extended families, their partners, and your best friends. You might be surprised at how quickly this adds up. Once you have a number you think is just about right, you’ll be ready to start looking and booking some viewings!

Will moving my wedding date save money?

One week or two makes very little difference to most couples, but a HUGE one to their bank account. If you’re planning on getting married around spring or autumn, you’ll be catching the start or the end of the wedding season. This means lower prices could be exactly as we said – just a week or two before or after. So, you know what to do – ask the venue!

Are the packages flexible?

Most venues will offer pre-set packages of varying opulence. They’re worth checking out, as they’re usually a very good deal. But, as with any package, you may want to change a thing or two, so find out if this is possible. For example, you may want to substitute canapés and dessert cart for more free wine on the tables. Or, hire your own DJ and have more flowers instead. Flexibility will help you have the wedding you want, still at a great package price.

Is the venue easily reachable?

Will your guests miss dinner because they got lost trying to find you? What about people without cars – can they get to the venue on a bus, or take a taxi without spending a fortune? Is there enough parking space for everyone?

Is there enough privacy?

If you don’t mind passers-by who may stop and take pictures of you, or even wander into your party, then feel free to skip to the next question. But if you do mind, then you should ask about this before you book. This would apply to hotels and places with grounds open to the public, among others.

How many other weddings will be happening on the same day?

If this doesn’t matter to you, or you’re considering an exclusive hire option, then you can skip right to the next question. But if you’re not keen on having multiple other celebrations happening at the same time as yours, this may be a deciding factor. Many venues have three or four (or more) suites of varying sizes to host multiple events at once. Bathrooms may have to be shared or the guests from other parties may come in – does this matter to you?

Are entrances, bathrooms, lifts, quiet rooms and other amenities close by?

This is important if you have guests who are elderly, have restricted mobility, or those with small babies. Bathrooms located two floors up from the reception room may be a problem without a lift. Some people will want to move to a quieter place once the dancing starts. Entrances and exits should be easily reachable too.

mount-druid-wedding

Photo of Mount Druid, Co. Westmeath by David Maury Photography

Is there an option to move an outdoor wedding ceremony indoors, or room to pitch a marquee?

Partying in the garden on a splendid summer day is fab – but there’s no weather guarantee. You have two options. The first is to hire a marquee as a handy yet beautiful shelter from the elements. The second is to create a Plan B featuring a swift move of the whole party inside. Ask the venue if they have the plan and the space to accommodate this scenario if you’re dreaming of an outdoor ceremony.

How much of my own stuff can I bring in?

Your own stuff includes: decor, food, alcohol, entertainment and other things you want to do your way. This is a very important question, as some venues have strict policies for their packages, while others are flexible. Discuss these details before you pay any deposits or sign on the dotted line.

How much stuff does the venue already have?

You’ll be surprised how much decor venues already have stashed away. Using it could save you hundreds off your wedding budget. It’s possible you won’t have to buy centrepieces, hire chair covers or twinkle lights, special plates, candelabra and other pretty bits and bobs. Ask if you can use it and what happens if something gets broken or goes missing.

What are the party hours?

If you literally want to dance the night away, be sure to check the venue’s curfew. Some venues have a fee for a bar extension so make sure to ask about this in advance so you can factor in the cost! In addition, you need to know the hours to book your band/DJ, catering (late night snacks?) and transport (bus for guests, limo for you). The last thing you want is penalties for staying late without prior arrangement!

the-millhouse-wedding-venue

Photo of The Millhouse, Slane, Co. Meath by The Fennells

Where will the guests stay? Is there a bridal suite?

Some people will go back home after the party, others may want to stay overnight. If you’re considering a hotel or another venue with accommodations, ask if they have preferential rates for wedding guests. If the venue doesn’t have such an option, then check nearby, and ask for group booking rates too. Then there’s the bridal suite to get ready in and stay overnight – is it available?

Is there a secure place to store my wedding gifts/cards?

If you don’t have a bridal suite at the same location, the venue should provide a secure lockable room for your gifts and cards (some will likely contain cash). Putting these things in cars parked outside is never a good idea.

Who will be my contact person?

Will it always be the wedding coordinator, or will you have to call multiple people? Are they reachable by phone and email? What is the turnaround policy on replies? Wedding planners and coordinators are supremely busy people, so establishing communication everyone’s happy with is important.

Is there a grace period after paying the deposit?

Is there a partially or fully refundable deposit if you change your mind early on? Don’t expect this grace period to be very long, but it’s worth checking just in case.

Final Meeting With the Venue Checklist

9 Places Where Celebrities Got Married and You Can Too

Maybe you’re a huge fan of a particular celebrity, era, or fashion. Maybe you just want to get married in a place that’s a little bit famous. Or maybe you like dropping interesting trivia into your wedding conversations. Either way, here’s a list of our favourite places where celebrities got married. And you know, you could get married there too.

Hampton Court Palace, London

places where celebrities got married

Above image from Historic Royal Palaces

Any English history buff has probably been to Hampton Court already, or is planning to go. It was here in 1435, King Henry VIII married his sixth and last wife, Catherine Parr. During the tour of the palace, you actually get to see the room where the marriage took place, and projections on the walls will make you feel like you’re witnessing an actual royal marriage. If this is too much for your own wedding, then at least you can say you stood in the same room. If you’re not into Tudor architecture though, the rear of the palace is built in the romantic Baroque style and the gardens are simply breathtaking.

Marylebone Registry Office, London

places where celebrities got married

Paul McCartney and Liam Gallagher got married there (not to each other, of course, but can you imagine the jams at that wedding…). It has just reopened after a four-year renov break, and could be ideally combined with a city mini-moon. They offer no fewer than seven (seven!) ceremony rooms. Other people who married there: Ringo Starr, Antonio Banderas, Sean Bean. It’s a list to rival some of the better known Vegas chapels! And speaking of Vegas…

Graceland Wedding Chapel, Las Vegas

places where celebrities got married

Above image from timeout.com

Basically, you’ll have a whole list of big names to drop into your conversation! First and foremost, if you’re a fan of Elvis Presley, then this is your closest alternative to actual Graceland. Choose a ceremony presided over by the King of Rock and Roll, and marvel at the fact that in the very same spot once stood: Jon Bon Jovi, Andie McDowell, Aaron Neville, Matthew Perry, Johnny Depp and Selma Hayek.

Jefferson Market Garden, New York

places where celebrities got married

Calling all fans of Sex and the City, but also fans of unconventional places to get married. On Greenwich Avenue between Sixth Avenue and W 10th Street lies Jefferson Market Garden, the very place where Steve and Miranda got married. If you feel a big-deal ceremony isn’t for you, then saying ‘I do’ outdoors in one of the most famous cities in the world could be just the thing.

Office of the City Clerk, New York

places where celebrities got married

Above image from marriedinnewyork.tumblr.com

Matt Damon and Luciana Barroso went down the refreshingly simple route at of a wedding at the City Hall in New York. Again, this is a great place for couples who like things a little unconventional. And if you want to visualise just what your own wedding could look like, there’s an actual Instagram account dedicated to weddings at that very city hall!

Luttrellstown Castle, Dublin

places where celebrities got married

Above image of Luttrellstown Castle

Ok, so what if you can’t or won’t elope to a faraway land? No problem, there’s plenty of name dropping to be done in our very own Ireland with the luxurious Luttrellstown Castle. David and Victoria Beckham got married there in 1999. At the time, their wedding was widely commented upon for the over-the-top decor factor. Even if you think so too, their choice of venue itself couldn’t have been better.

All Saints’ Church, Raheny, Dublin

places where celebrities got married

Built in the late 1880s, this church was constructed entirely using Irish materials, and some members of the Guinness family are buried in the crypt. Aside from its architectural beauty inside and out, this is the place where Bono and Ali Hewson got married back in 1982. If you believe in omens, then this might be a good one, as they are still married today.

Ashford Castle, Co Mayo

places where celebrities got married

While quite a few celebs danced at Ashford Castle and The Lodge at Ashford Castle weddings, we think it’s the perfect place for a Bond theme. Why? Because Pierce Brosnan had his wedding reception there all the way back in 2001. Or maybe you’re more of a golfing couple? Rory McIlroy got married here. Want to show off your boyband knowledge credentials? Shane Filan from Westlife also said ‘I do’ here.

Lough Rynn Castle, Leitrim

If you’re after a fairy tale setting for your Big Day, look no further than Lough Rynn Castle in Leitrim. Located on the shores of Lough Rynn, this 19th century castle was the setting for Amy Huberman and Brian O’ Driscoll’s wedding back in July 2010 and you could follow in their footsteps. They said ‘I do’ at St Josephs Church in Aughavas, Co. Leitrim before a lavish celebration at Lough Rynn.
